COMPUTER USE

Q: I don’t know how to use a computer. Can I get a paper application portfolio form instead?
A: No, the application portfolio is only available on-line. Basic computer skills and access to a computer are required for the IEMBP, as part of the IEMBP will be offered through distance education courses.

Q: I don’t understand computer language. Is there a glossary of computer terms?
A: No, the IEMBP website does not provide a link to computer terminology. The IEMBP Application Portfolio User Guide provides a good introduction to the language used in the IEMBP Application Portfolio.
Also, you can use your internet browser’s search tool to look up unfamiliar terminology.

Q: How do I learn how to fill out an online form?
A: The IEMBP Application Portfolio User Guide, which can be found on the Support Page, provides detailed instructions on how to use the IEMBP Application Portfolio, and includes many “pictures” of what the computer screen will look like as you go.
Also, many questions have a More Info link to extra instructions on how to respond.

 

IEMBP APPLICATION PORFOLIO USER ACCOUNT

Q: I don’t have an email address so how can I get a User Account?
A: You can get an email account through a free online webmail service provider. Some of the more popular free email service providers are Google Gmail, MSN hotmail or Yahoo mail.

Q: I didn’t get the email with my log in information. How do I get into the IEMBP Application Portfolio?
A: Look in the Junk or Spam folder of your email account to see if there is an email from info@midwifery.ubc.ca, since some Spam filters or email servers will not allow automatic email(s) into your Inbox.
If you do not find it, wait a half hour to see if the email delivery was delayed.
If it does not arrive, try creating a User Account using an alternate email address. This will be the email address that you use to manage your User Account. Later, in Step 2 of the IEMBP Application Portfolio, you can specify whichever email you prefer to be the email for official IEMBP correspondence.
If you still do not receive the email, use an online webmail service, such as Google gmail, MSN hotmail or Yahoo mail.

Q: I keep getting the blank log in screen although I'm sure I have entered the correct username and password. What should I do?
A: It is likely that your internet browser is blocking the use of cookies; cookies are used by the IEMBP Application Portfolio log in programming, to recognize your computer. Your internet browser privacy settings need to be set to allow the temporary use of a cookie. Try lowering your privacy setting slightly.

  • Internet Explorer:
    Tools -> Internet Options -> Privacy tab. Recommendation: Slide the lever to Medium-High. Click Okay and try logging in to the Online Application again.
  • Mozilla Firefox:
    Tools -> Options -> Privacy tab. Under Cookies, ensure the “Accept cookies from sites” box is ticked. Recommendation: under “Keep until:” choose “I close Firefox”.

Q: How do I change my password?
A: Click on “Request New Password” when in the Log In screen of the application portfolio. Follow the instructions for requesting a new password. An email from info @ mmbp-onlineapplication.ca will be sent to your email inbox. Follow the instructions provided in the body of the email to change your password.

Q: I want to read the Terms of Use and Privacy Policy more closely before I click “I agree”. Where can I find them?
A: The IEMBP Terms of Use and Privacy policy can be viewed on the Support Page of the IEMBP Application Portfolio. This can be accessed from the Welcome page at any time – no log in required.

Q: What do I do if I have forgotten my password?
A: If you enter the wrong password you will get an error message asking “Have you forgotten your password?” Click on the text link and follow the directions for obtaining a new password. An email from info @ midwifery.ubc.ca will be sent to your email inbox. Follow the instructions provided in the body of the email.

USING THE IEMBP APPLICATION PORTFOLIO

Q: I am not getting any pop-up messages (e.g. “Have you saved?”) Why?
A: It is likely that your internet browser needs to be set-up properly to allow the IEMBP Application Portfolio tool to produce these messages. In order to complete the IEMBP Application Portfolio you must choose specific Javascript settings for your internet browser.

Q: How do I turn Javascript on?
A: The Javascript settings are accessed through the “Tools” or “Preferences” menu on your browser.

Q: When I click on hyperlinks (blue underlined words that link to a document or other webpage), nothing happens. What do I need to do?
A: Most likely the problem is that your internet browser is set to block pop-up windows. If the link is set to open a new window, the pop-up blocker does not allow the new window to open. It may be that the pop-up window will be allowed if you hold the Control key while clicking on the link. If not, or if you don’t like this method, you should change your internet browser setting to allow pop-ups (see below).

Q: When I click on “more info”, nothing happens. How do I make it work?
A: You should make sure that your internet browser is set to allow pop-ups. (See the FAQ above and below this one).

Q: How do I turn off my pop-up blocker?
A: In order to complete the IEMBP Application Portfolio you must reset your browser to allow pop-ups. Go to the “Tools” or “Preferences” menu on your browser and follow instructions to allow pop-ups. NOTE: This may vary depending on the browser you are using. Instructions on how to allow pop-ups can be found in the “help” section of most browsers.

Q: I can’t open one of the documents linked to the site. How can I open it?
A: All linked documents are in PDF format. You need Adobe Reader software to open PDF documents.

Q: How do I get (Adobe Reader) software to be able to open PDF files?
A: You can download Adobe Reader for free from the Adobe website.

Q: Why are some fields pink?
A: A pink shaded field means that the question is mandatory. Once you have entered data into a mandatory field it will no longer be shaded pink.

Q: Why are some of the fields yellow?
A: It is likely that your internet browser has the autofill or auto complete function turned on. The text that the browser is predicting you might want to use shows up in yellow. When filling in the IEMBP Application Portfolio, the autofill or autocomplete function should be turned off (see below).

Q: How do I turn off autofill or auto complete?
A: To stop your browser from filling in fields automatically with information you have already typed you must turn off the auto fill or auto complete function in your browser. Go to the “Tools” or “Preferences” menu on your browser to turn off auto fill or auto complete.
NOTE: This may vary depending on the browser you are using so instructions on how to allow turn off auto complete can be found in the “help” section of most browsers.

Q: Why can’t I navigate around the site by clicking on my internet browser buttons (back, etc)?
A: The IEMBP Application Portfolio programming does not support use of the browser navigation buttons. Navigation has been designed right into the IEMBP Application Portfolio, to optimize the functioning of the program (e.g. feedback and warnings).

Q: I used the browser back button and got to a page saying “Webpage has expired.” What do I do?
A: In the address bar at the top of the internet browser window, type in www.mmbp-onlineapplication.ca to return to the Welcome page and carry on. You should still be logged in to your User Account (if not, log in again). You must check your recent entries carefully, because the information that you entered since you last Saved will likely be lost.

Q: I am still logged in but I can’t seem to access my application. What should I do?
A: Go to the IEMBP Application Portfolio Welcome page (www.mmbp-onlineapplication.ca) and look in the top right-hand corner. If it says “Log in”, then you are currently logged out, and should now log in. If it says “Log out”, then you are currently logged in. Try logging out and logging back in.
If you cannot access the Welcome page or other pages of the IEMBP Application Portfolio, it is likely that the server is temporarily unavailable, so try again later.
If the problem persists, contact the IEMBP Technical Team at info@midwifery.ubc.ca or telephone the IEMBP office at 604-822-0352.

Q: The email that the computer generated so I could send evidence forms to my referees won’t send, what should I do?

A: Click ‘send’ in your email software. The evidence request email should then show up in your “sent” folder.
If not, check whether there is a problem with your email account (send a test email from your own account to yourself).
If your email account is otherwise working properly, then the evidence request email should also send properly. If it doesn’t, try closing the evidence request email and click on the button to generate a new one.
If the problem persists, contact the IEMBP Technical Team at info@midwifery.ubc.ca or telephone the IEMBP office at 604-822-0352.

Q: I want to email a form to one of my referees but nothing happens when I click on the link. What should I do?
A: In order for the system to generate the evidence request email, there must be email software detectable on the computer that you are using. If you only use internet-based email, you will not be able to use the computer-generated evidence request email. You will need to print out the forms so that you can sign the authorization, and send it to the referee.

Q: I am not using my own computer, so how do I send the evidence request emails from my email account?
A: You cannot send the evidence request email from your own email account unless you set up your email account on the computer that you are using. This is not usually desirable.
If there is an email account and software installed on the computer that you are using, the email will be generated with that email account as the return email address. If you have permission to send from that email account, then also put your own email address in the carbon copy (cc) line, and let the referee know that you have done so.

Q: How do I know that the automatic email (evidence request) was sent properly?
A: If your email software is set up to keep copies of your “sent” emails, then you will see the evidence request email in your “sent” folder if it has gone out properly.

Q: The email address that I used to create my IEMBP Application Portfolio account is no longer current. Is this ok?
A: The email address that you used to create your account is also the one used if you need to request a new password. If you need to change your password, do NOT request a new password via the button on the login page. You must first arrange for the IEMBP Technical Team to update the email account that is used in the password request programming.
All IEMBP correspondence will go to the email account indicated under your contact information within Step 2 of the IEMBP Application Portfolio. Be sure that you have listed a current email address there – check via the Update My Contact Information button at the top of the Application Portfolio Overview page.

 

FINALIZING THE IEMBP APPLICATION PORTFOLIO

Q: I have finished my IEMBP Application Portfolio but some sections are still showing as “incomplete” - what do I do now?
A: You should look over the sections that are showing up as incomplete to ensure that you have answered every mandatory question, and click save. Mandatory questions are marked with a red star. If you have added several records to a table you should check each record to ensure that all mandatory questions were answered.
If you have completely answered all questions applicable to your situation but are unable to see the “Begin Finalizing Your IEMBP Application Portfolio” button, you should email the technical team at info@midwifery.ubc.ca for assistance. Indicate your name and application number. State that your IEMBP Application Portfolio is complete but you are experiencing a technical problem with the finalization function, and indicate the step that will not show as “complete”. If this email is sent before the Finalization Deadline, your IEMBP Application Portfolio will be manually finalized for you, and you will be notified by email when it is ready for review and printing.

Q: I have finished my IEMBP Application Portfolio but there is no finalize button – what do I do?
A: Go to the Application Portfolio Overview page and check that all steps are marked as Complete. If there are any incomplete sections the finalize button will not appear.

Q: How can I print out the information in my IEMBP Application Portfolio?
A: The Application Portfolio Overview page has a button to allow printing of your full IEMBP Application Portfolio, both before and after finalization. The full print version should NOT be sent to the IEMBP office.
Right after you finalize your IEMBP Application Portfolio, your computer will create a shortened mail-in version of the application, which must be printed, signed in front of a notary, and mailed/couriered to the IEMBP office.
After finalization, the short mail-in version can be printed via a button on the Application Portfolio Overview page.

Q: Will I receive notification that my IEMBP Application Portfolio has been received?
A: No, the IEMBP office will NOT notify you that your application has been received. You may telephone them if you wish.

Q: If this is a legal document, how do I ensure that the information I send you online is accurately submitted by the program software?
A: After you have finalized your application portfolio, it is a good idea to check over the information printed on the mail-in application portfolio before you send it in. You can also continue to view your information online via the Application Portfolio Overview page, as well as print out a full copy. What you see online and in print is the same as what the assessors will see.
If you find an error, contact the IEMBP office. If you find that you made a mistake in entering your information, you will need to submit an amendment form.

 

SECURITY

Q: How do I empty my internet browser’s temporary memory (also known as Browser cache)?
A: To clear the browser’s cache (memory) go to the “Tools” or “Preferences” menu on your browser and follow instructions to delete Browser History.

Q: I let my computer save my email password, and other people have access to my computer – what should I do?
A: It is recommended that you change your email password immediately, and disable the “remember my password” function. If someone else gains access to your email, they can access your IEMBP Application Portfolio.

  • MS Office Outlook
    Tools -> email account -> View or change existing email accounts -> Next. Select the email account that you are concerned about, and click Change, then review the settings under Logon. Untick the box beside “Remember Password”. Note: Make sure you know what the password is, so that you can provide it for log in the next time you open your email software.
  • Outlook Express 6
    Tools -> Accounts, click on the Mail tab, then highlight the email account name and click Properties, then the Servers tab, and uncheck the “Remember Password” box.

For other programs, check the Help section of your email software, or search online, for instructions on how to change your email password.
Next, you should change your IEMBP Application Portfolio password (see below).

Q: I think someone else may know the password for my IEMBP Application Portfolio – what should I do?
A: You should change your password immediately. To do this click on “Request New Password” when in the Log In screen of the application portfolio. Follow the instructions for requesting a new password. An email from info @ mmbp-onlineapplication.ca will be sent to your email inbox. Follow the instructions provided in the body of the email to change your password.

Next, you should carefully check over all of the content of your IEMBP Application Portfolio to ensure that all of the information is correct and as you entered it.

Q: I think someone else may know my email password – what should I do?
A: You should change your email password immediately, because otherwise the other person can access your IEMBP Application Portfolio and even change your IEMBP Application Portfolio password.

  • MS Office Outlook

Q: I let my computer save my IEMBP Application Portfolio password – what should I do?
A: You should delete your IEMBP Application Portfolio password from your internet browser memory, and disable or say no to the “remember my password” function (see below).
If you did not notice right away that the password was saved, you should change your IEMBP Application Portfolio password (see above).

Q: My internet browser software seems to be saving my passwords without asking my permission – what should I do?
A: You need to disable the password saving function and clear your saved passwords.

  • Internet Explorer
    Go into Tools -> Delete Browsing History..., and click the Delete Passwords... button. Or, from Tools, choose Internet Options, then choose the General tab; click Delete in the Browser History section, then Delete Passwords.
    Always say NO when the browser offers to remember your password.
  • Mozilla FireFox
    Go into Tools -> Options..., and click on the Security tab, then un-tick the box beside “Remember passwords for sites”. To delete passwords already stored, click on Show Passwords, choose the passwords you want to delete, and click Remove.

Next, you should change any passwords that were previously saved. Specifically, you must click “Request New Password” in the IEMBP Application Portfolio Log in window, and follow the instructions to create a new IEMBP Application Portfolio password.

Q: I forgot to logout before closing my browser. Is that ok?
A: No, you should always log out of the IEMBP Application Portfolio before closing your internet browser, as you are not automatically logged out. If you are still logged in, someone else using that computer can go to the IEMBP Application Portfolio website and see your application information.
If you forget to log out, you should open your browser again, return to the IEMBP Application Portfolio, and click log-out.
